Capturing Leads From Lead Providers

You can get leads from almost anywhere now (Zillow, Trulia, Homes.com, etc.). Each time you receive a lead from one of these places, they send you an e-mail with all the lead's contact info in it. To funnel those leads into Lead Manager to have them in one spot, you need to send a copy of that e-mail into your Lead Manager custom import address (something like XXXXX@proi.io). 

You can do this in one of two ways. Both work equally well. We'll use Zillow as an example lead source in the descriptions below.

Direct Import -

  1. Basics - You'd login to your Zillow profile and change the e-mail address where they send you mail now to your Lead Manager custom import address. Zillow sends all e-mail to that address, Lead Manager picks out and imports the leads while forwarding everything else (billing, marketing, etc.) to you.
  2. Downsides - you changed your Zillow login and the e-mail that displays on your Zillow profile.

 

E-mail Forwarding - 

  1. Basics - You set up a rule in your Outlook or Gmail to forward a copy of any leads you get from Zillow into your Lead Manager custom import address. This is handled automatically and everyone is happy. 
  2. Downsides - requires knowledge of creating forwarding rules and Outlook or Gmail account.

 

Direct Import

Below are some generic steps to send your leads from any lead provider into Pipeline ROI Lead Manager. Because EVERY lead provider is different, we don't have specific instructions for each one (over 170). 

  1. First, you'll need to find out what your lead import address is. To do that, login to Lead Manager by going to www.pipelineroi-leadmanager.com
  2. Click on Leads at the top and then Sources below that. Open a source profile and go to step 2 - Capture Method. If you don't have any sources created, go ahead and create one.
  3. Your lead import address is on the page in the bottom-left. It should be something like 12345@proi.io.
  4. Now, you'll need to login to whatever lead provider you are getting leads from. You have to change the e-mail address they send leads or e-mails to on your account to your Pipeline ROI lead import address.
  5. After you do that, Lead Manager will be getting your e-mail from this lead provider. If the system receives a lead, it imports it. If the e-mail is not a lead such as billing or marketing, the system forwards that to the admin's e-mail address on Lead Manager. 

 

E-mail Forwarding

To forward your lead e-mails from an Outlook or Gmail account follow the steps below. The instructions below all reference Trulia leads, but the instructions are the same for any lead provider, Trulia is just a placeholder so replace that with whatever source(s) you need to import leads from.

Outlook 2007

Outlook 2007

Follow the instructions below to forward leads from Outlook 2007 to your Pipeline ROI custom import address:

  1. Open Outlook 2007, click Tools on the upper left, and select Rules and Alerts.

  2. Click New Rule…

  3. In the Rules Wizard, Select Check messages when they arrive and click Next.

  4. Select the conditions for your rule.  When selecting your conditions, you can add as many conditions as you like.  But at minimum, select from people or distribution list.

  5. Next, edit your rule description.

    Click the people or distribution list link, enter *@Trulia.com next to the From -> field, and click OK.

  6. When you're finished configuring your conditions and rule descriptions, click Next.
  7. On the following screen, select forward it to people or distribution list at the top.

  8. Edit the rule description at the bottom by clicking the people or distribution list link.  Then, enter your Lead Manager import address and click OK.

  9. Click Next, click Next again (unless you need to add an exception to your rule), and then finish the rule setup:
    • In Step 1, enter a name for your rule

    • In Step 2, ensure that the second option is checked.  Additionally, you can select the first option to run your new rule on messages currently in your inbox, and if you have more than one e-mail account configured in Outlook that receives leads from this source, select the third option to apply this rule to all accounts.

    • In Step 3, make sure the rule description matches the image below.

      NOTICE: If you added additional conditions or rules in the previous steps, your rule description will also contain those items.
  10. Click Finish to turn on your rule.

That's it!  Outlook is now configured to forward a copy of your leads to your Pipeline ROI Lead Manager account.

 

Outlook 2010

Follow the instructions below to forward leads from Outlook 2010 to your Pipeline ROI Lead Manager custom import address:

  1. Open Outlook 2010, click Rules on the toolbar, then Manage Rules and Alerts...

  2. Click New Rule…

  3. In the Rules Wizard, Select Check messages when they arrive and click Next.

  4. Select the conditions for your rule.  When selecting your conditions, you can add as many conditions as you like.  But at minimum, select from people or distribution list.

  5. Next, edit your rule description.

    Click the people or distribution list link, enter *@Trulia.com next to the From -> field, and click OK.

  6. When you're finished configuring your conditions and rule descriptions, click Next.

Gmail

Step 1 — Set up a forwarding address:

  1. Log in to Gmail, click the gear in the top right, and choose Settings.

  2. Select Forwarding and POP/IMAP and click Add a forwarding address in the Forwarding section.

  3. Enter your Pipeline ROI Lead Manager import address and click Next.

After clicking Next, Gmail sends a verification to your Pipeline ROI Lead Manager import address.  Log in to the e-mail account configured with your Pipeline ROI account where you receive your lead notifications, open the confirmation e-mail, and click on the verification link.

Step 2 — Creating the e-mail filter

  1. Return to your Gmail account and click the drop-down arrow in the search box on the upper left.  A search options window appears allowing you to specify your search criteria.

  2. Enter *@Trulia.com in the From: field and click Create filter with this search at the bottom of the search window.

    NOTICE:

    The asterisk (*) allows Gmail to intercept all e-mail leads coming from Trulia.  If it's not a lead, don't worry — Pipeline ROI automatically kicks it back to you and lets you decide what to do with it.

  3. On the following screen, place a check beside Forward it to:, select your Pipeline ROI Lead Manager import address from the drop-down menu, and click Create Filter at the bottom.

    Hint: You can enable additional filter options for Gmail (depending on your preferences) without affecting the e-mails forwarded to Pipeline ROI.

That's it!  Gmail is now configured to forward a copy of your leads to your Pipeline ROI Lead Manager account.
