Creating a Branded E-mail Address

Within your Pipeline ROI website, we've made it extremely easy to choose your E‑mail host if you are wanting a vanity or custom E‑mail address such as yourname@yourdomain.com.  Not only is it easy to set this up, you can also choose from any E‑mail provider out there from Google to Microsoft.  Before we jump into the details, you need to know what your basic options are:  Full-service E‑mail host and E‑mail forwarding.

Full-service E‑mail host
If you choose to use a third-party E‑mail host, such as Google Apps for Work or Microsoft's Hosted Exchange service, you have full control over custom E‑mail addresses, cloud storage, online calendars, and more.  These services typically cost a few dollars per month, per user, but there are a few free choices as well.  Most of these services are also able to be added to your mobile devices, enabling you to send and receive E‑mails while out of the office.
E‑mail forwarding
If you already have an E‑mail address you use to send/receive mail from, you can still create a vanity E‑mail address to receive mail at this existing address.  For example, say you have a forwarded address such as info@company.com, which forwards toIanSales@Gmail.com.  Customers can send you E‑mail to info@company.com, and those E‑mails will appear in your IanSales@Gmail.com inbox.  However, if you choose to respond to that customer, your response will be sent through Gmail's servers, and have a From: address as IanSales@Gmail.com.

While you can choose any E‑mail provider out there, here’s a list of common E‑mail providers businesses use for a quick comparison. 

  How much does it cost? How much storage is available? Does it support mobile devices? Does it include a calendar? What about Cloud storage?

Once you've chosen which direction you wish to go, choose a panel below to get started:

If you've chosen to go with one of the many 3rd party E‑mail hosting providers, we've made it easy for you to enter all of the necessary settings to point your E‑mail to your provider.  Follow the steps below to get started:

IMPORTANT:  Make sure that you create an account with your chosen 3rd party E‑mail provider prior to following the steps below!

  1. To begin, log in to the Admin section of your Pipeline ROI Website, hover over the XSite button, and choose Wizard.

  2. Once the Wizard loads, click Manage Domains on the left of the window.

  3. Under the Your E‑mail Hosting heading, locate your domain name, choose an E‑mail Host from the drop-down, and choose Click to edit to launch the E‑mail Host Setup wizard.

     If you receive a message stating "This domain is not managed by Pipeline ROI", you will need to contact your domain registrar to change your E‑mail hosting settings instead of doing it through your Pipeline ROI Website.
  4. When the E‑mail Host Setup wizard launches, follow the directions on screen and choose Next.  Since you already set up your 3rd party E‑mail account, you shouldn't have to pause what you're doing to create that account now.

  5. In step 2, you'll be asked to verify your domain for the 3rd party E‑mail company.  There are a few different ways to accomplish this, which can vary based on which E‑mail host you chose:
    1. Adding a TXT (text) record
    2. Adding a CNAME record
    3. Adding a <meta> tag to your home page

    To verify your domain, just choose the method that corresponds with your E‑mail host's preferred method, and follow the instructions on the screen.  When you're finished, click Verify Domain to continue verify your domain.  Please note, this can take anywhere from a few minutes to over an hour.

  6. Once your domain has been verified, you'll be presented with step 3 of the E‑mail Host Setup.  Here, you can enter any custom DNS records, such as the MX, CNAME, and TXT records, that your E‑mail host has given you.  Be sure to enter this information exactly as it's given to you, otherwise, you may have issues sending or receiving E‑mails.

    Once you've entered all of the necessary DNS information, click Update Domain Records

     Keep in mind that, if you have CertMail or other custom MX records already set up, you must delete existing MX records prior to adding the new MX records for your new e‑mail host.

That's it!  Once you've followed all of the steps above, you're able to send and receive E‑mails at your new E‑mail address within the hour.  If you're having any issues, verify your DNS records entered in Step 3 of the E‑mail Host Setup wizard.  If that fails to correct the issue, contact our Support department at 866-300-1550.

As mentioned in the introduction, a second, free option for creating an E‑mail forwarding address.  This allows us to forward E‑mail to your pre-existing E‑mail address.

The downside to creating a forwarding-only E‑mail address is that you're unable to send or respond to E‑mail using that E‑mail address.  For example, say you have a forwarded address such as info@company.com, which forwards to IanSales@Gmail.com.  Customers can send you E‑mail to info@company.com, and those E‑mails will appear in your IanSales@Gmail.com inbox.  However, if you choose to respond to that customer, your response will be sent through Gmail's servers, and have a From: address as IanSales@Gmail.com.

If you wish to create a forwarding E‑mail address, just follow the steps below:

  1. To begin, log in to the Admin section of your Pipeline ROI Website, hover over the XSite button, and choose Wizard.

  2. Once the Wizard loads, click Manage Domains on the left of the window.

  3. Under the Your E‑mail Hosting heading, locate your domain name, choose E‑mail Forwarding from the drop-down, and select Set up email forwarding to launch the E‑mail Forwarding Setup wizard.

     If you receive a message stating "This domain is not managed by Pipeline ROI", you will need to contact your domain registrar to change your E‑mail hosting settings instead of doing it through your Pipeline ROI Website.
  4. In the wizard that launches, enter both the E‑mail address that you wish customers to be able to send E‑mails to, as well as your existing E‑mail that all E‑mail will be forwarded to.

    When you're finished, click Save.

That's it!  After creating your forwarding E‑mail address, it's instantly ready to receive (and then forward) any E‑mail that is sent to it.
