How Do I Capture Leads In Lead Manager From Other Lead Providers?
If you are getting leads from Zillow, Trulia, or other lead providers, you can funnel them into Lead Manager to track and distribute those leads to other agents. When you receive a lead from Zillow, for example, they send you an e-mail with ALL the lead’s information. That e-mail has their name, e-mail and sometimes phone as well as some other comments/info.
That e-mail is where Lead Manager gets all the information it needs to create a lead and distribute it. You need to get a copy of that e-mail into your Lead Manager custom import address. This will be something like 123456@pipelineroi.com. You can do this in one of two ways. Read a brief description below then decide which is best for you.
Direct Import – Let’s say you get leads from Trulia. To funnel your leads into Lead Manager using this method, you’ll have to login to your Trulia account and then change the e-mail address where leads are delivered to. With some lead providers, this may mean changing some combination of your login username, your public-facing contact e-mail, and the e-mail where all billing e-mail goes. If you do this and end up sending non-lead e-mail to Lead Manager, we just send it right back to you so you still get all your e-mail.
E-mail Forwarding – If you are using Outlook or Gmail, you can create some forwarding rules from there which will automatically send a copy of any lead e-mails you receive into Lead Manager.
Direct Import
If you want to use the Direct Import method, follow the steps below. Please note that since almost every lead provider is different, we don’t have specific instructions for each one. The concept is the same across all though: change the e-mail address where your leads are delivered.
Find out your Lead Manager import address by logging into lead manager at PipelineROI-LeadManager.com/login. click on Leads at the top and then Sources right below that.
Now create a new Source, enter a name and estimated cost, then proceed to step 2 Capture Method. On this page, you’ll find your unique import address. Write that down. It’s the same for every source.
Login to your Lead Provider and change the e-mail address where they are sending your leads to now. From that point on, lead e-mails (and possibly all e-mail from this provider) will get sent to Lead Manager. If it’s a lead, we import it. If it’s not, we forward it on to you.

Follow the instructions below to forward leads from Outlook 2007 to your Pipeline ROI custom import address:
Open Outlook 2007, click Tools on the upper left, and select Rules and Alerts.
Click New Rule…
In the Rules Wizard, Select Check messages when they arrive and click Next.
Select the conditions for your rule. When selecting your conditions, you can add as many conditions as you like. But at minimum, select from people or distribution list.
Next, edit your rule description.
Click the people or distribution list link, enter your lead provider’s e-mail address listed on the Alt. Lead Sources tab in the From -> field, and click OK.
When you’re finished configuring your conditions and rule descriptions, clickNext.
On the following screen, select forward it to people or distribution list at the top.
Edit the rule description at the bottom by clicking the people or distribution list link. Then, enter your Pipeline ROI import address and click OK.
Click Next, click Next again (unless you need to add an exception to your rule), and then finish the rule setup:
In Step 1, enter a name for your rule
In Step 2, ensure that the second option is checked. Additionally, you can select the first option to run your new rule on messages currently in your inbox, and if you have more than one e-mail account configured in Outlook that receives leads from your provider, select the third option to apply this rule to all accounts.
In Step 3, make sure the rule description, with the exception of the e-mail addresses that appear in our example, matches the image below.
NOTICE:
If you added additional conditions or rules in the previous steps, your rule description will also contain those items.
Click Finish to turn on your rule.
That’s it! Outlook is now configured to forward a copy of your leads to your Pipeline ROI account.

Follow the instructions below to forward leads from Outlook 2010 to your Pipeline ROI custom import address:

Creating a filter in Gmail to forward e-mail leads from alternative sources is a two-step process. Follow the directions below to set it up:
Step 1 — Set up a forwarding address:
Log in to Gmail, click the gear in the top right, and choose Settings.

Select Forwarding and POP/IMAP and click Add a forwarding address in theForwarding section.

Enter your Pipeline ROI custom import address and click Next.

After clicking Next, Gmail sends a verification to your Pipeline ROI import address. Log in to the e-mail account configured with your Pipeline ROI account where you receive your lead notifications, open the confirmation e-mail, and click on the verification link.
Step 2 — Creating the e-mail filter
Return to your Gmail account and click the drop-down arrow in the search box on the upper left. A search options window appears allowing you to specify your search criteria.

Enter the e–mail address from your lead provider (listed in the Alt. Lead Sources tab) in the From: field and click Create filter with this search at the bottom of the search window.

NOTICE:
The e-mail address you enter here may have an asterisk ( * ) in it. The asterisk allows Gmail to intercept all e-mails coming from this lead source and forward them to Pipelike ROI. If it’s not a lead, don’t worry – Pipeline ROI automatically kicks it back to you and lets you decide what to do with it.
On the following screen, place a check beside Forward it to:, select your Pipeline ROI custom import address from the drop-down menu, and clickCreate Filter at the bottom.

You can enable additional filter options for Gmail (depending on your preferences) without affecting the e-mails forwarded to Pipeline ROI.
That’s it! Gmail is now configured to forward a copy of any leads from your lead source to your Pipeline ROI account.
